Reproduce Pre-Configured Report

Follow these instructions to replicate the pre-configured reports located throughout the website. For all of the various reports, change or select only the options listed. All of the other aggregations and filters can be ignored. For some reports, the data will need to be manipulated after the full report has been generated. For example, the college-going rates exclude students with unknown genders and ethnicities. To match the numbers on the pre-configured page, these data must be deleted from the results. Square brackets, [], around an option or title indicates that it is a placeholder for a selection or input.

Instructions These instructions assume that you have some familiarity with how the Custom Data Report System works and some experience using a spreadsheet program such as Microsoft Excel or a database program such as Microsoft Access to manipulate the downloaded data. Information about how to use the Custom Data Report System can be found in the Instructions and in the step-by-step walk through of an example report.

To generate the College Destinations of High School Students by Ethnicity - High School Statistics - 9th and 12th Grade Enrollment located at

  1. Start at the Custom Data Reports,

  2. Select "Grade School and High School" from the list under "Select a Data Report".

  3. Mark the radio button in front of "Enrollment by Grade Level" and hit the Enter key or click on "Select Final Options" at the bottom of the page.

  4. Under "Time Frame for Data", change the following options:
    • Select "Last 5 Years" from the drop-down list.
  5. Under "Aggregate (Group) Data By", modify the following options:

    1. Under "The Student's":
      • Mark the checkbox in front of "Ethnicity".
      • Mark the checkbox in front of "Grade Level".
  6. Adjust the following filters:

    1. Under "Include only Students at Schools that match the following criteria", change the following options:
      • Type "[One or Two Words from the Name]" in the form (without the quotes).
  7. Click on "Generate Report" at the bottom of the page. A new window will open with the results.

Special Instructions / Notes

  • The location of this report is actually the search page for this system. This data can be found on the View a list page under College Destinations for any given high school.
  • It is not possible to generate all of the data on the page with a single Custom Data Report. See the instuctions for the "Graduates, A-G Completions and College Freshmen" report for the rest of the data.
  • When entering the [One or Two Words from the Name] choose something that is fairly unique to the school. The "official" name may be structured differently from the commonly-used name. For example, search for "Jefferson" instead of "Thomas Jefferson High School". Your results may have more schools than you want. You can re-run the report with the "official" name of the school, enclosed in quotes, once you have it.
  • To complete the report:
    1. Select "Don't Crosstab Downloaded Data" and download the data.
    2. Delete all data from the latest year and all data from years two and three. This will leave the data for the earliest year and four years later. Since the enrollments are for fall of a given calendar year and graduates are for the last year of an academic year, you need to compare the 12th-grade enrollments of one year to the graduates of the following year. For example, 2007 12th graders will graduate in 2008.
    3. Delete rows of data from the earliest year you have left where the grade level is not 9.
    4. Delete rows of data from the latest year you have left where the grade level is not 12.
    5. Create a cross-tab or pivot table of the data:
      • Rows: "Grade Level"
      • Columns: "Ethnicity"
      • Data: "Students"
