Reproduce Pre-Configured Report

Follow these instructions to replicate the pre-configured reports located throughout the website. For all of the various reports, change or select only the options listed. All of the other aggregations and filters can be ignored. For some reports, the data will need to be manipulated after the full report has been generated. For example, the college-going rates exclude students with unknown genders and ethnicities. To match the numbers on the pre-configured page, these data must be deleted from the results. Square brackets, [], around an option or title indicates that it is a placeholder for a selection or input.

Instructions These instructions assume that you have some familiarity with how the Custom Data Report System works and some experience using a spreadsheet program such as Microsoft Excel or a database program such as Microsoft Access to manipulate the downloaded data. Information about how to use the Custom Data Report System can be found in the Instructions and in the step-by-step walk through of an example report.

To generate the Transfer Pathway Charts - [Community College] To Campuses of the University of California and California State University located at

  1. Start at the Custom Data Reports,

  2. Select "Transfers to Higher Education" from the list under "Select a Data Report".

  3. Mark the radio button in front of "Full-Year Transfers to Public Institutions" and hit the Enter key or click on "Select Final Options" at the bottom of the page.

  4. Under "Time Frame for Data", change the following options:
    • Select "Last 5 Years" from the drop-down list.
  5. Under "Aggregate (Group) Data By", modify the following options:

    1. Under "The Current Institution's":
      • Mark the checkbox in front of "Institution Name".
  6. Adjust the following filters:

    1. Under "Include only Students from Source (Sending) Colleges or Universities that match the following criteria", change the following options:
      • Type "[One or Two Words from the Name]" in the form (without the quotes).
  7. Click on "Generate Report" at the bottom of the page. A new window will open with the results.

Special Instructions / Notes

  • The location of this report is actually the main page for the Transfer Pathways. This data can be found by clicking on the name of the Community College.
  • The year column in the Custom Data Reports for Full-Year Transfers refers to the academic year ending in the year shown (e.g. 2000 refers to Academic Year 1999-2000 data).
  • The Transfer Pathways charts are from an agenda item in 2002. The Commission recognized the value of this information and began to request this data from the segments to maintain the charts going forward. The University of California was able to supply ethnicity for the data starting in the 1999-2000 academic year. The ethnicity became available from California State University starting in 2001-02. The data with the additional detail was added to the Custom Data Report System to allow users more flexibility. The Commission has selected not to add the data from prior years to the Custom Data Reports because of the differing source of the data and the lack of detail.
  • When entering the [One or Two Words from the Name] choose something that is fairly unique to the school.
  • Download the data then change the year to Years 6-10 and than all other 5-year spans through Remaining Years. Combine the data using a spreadsheet or database program.
