Under the general supervision of the Director, the Business Services Assistant/Office Technician (T) is responsible for:

Contracts/Purchases Orders - Monitor contracts, leases and interagency agreements; prepare bid packets and coordinate bid awarding process; prepare contract and interagency agreement documents; process documents for approval to appropriate State departments, maintain master contract files, approve contract payments, and secure evaluations of contractors. Place orders for purchases in accordance with State regulations; maintain supply inventory, prepare sub-purchase orders, purchase estimates, and printing requests; verify receipt of purchases and notify Accounting Officer. Act as liaison between CPEC and California Records and Information Management (CalRIM). Assist with coordinating the CPEC records management program.

Equipment/Furniture - Secure bids and recommend selection of successful vendor; prepare contracts for maintenance and repair of equipment; maintain inventory and annually conduct inventory of equipment. Assist with locating in negotiation of office and other space; assist with preparing plans and specifications, secure bids on building repairs and alterations; inspect and accept alterations to buildings and other contracted work. Establish standards of building care and maintenance of the building and assure these standards are met. Assist Safety Officer with emergency plan for the building.

Clerical Support - Greet visitors to the Commission; receive and direct visitors to appropriate staff or meeting rooms. Answer and direct telephone calls to appropriate unit within the Commission. Receive mail and packages and ensure delivery to correct staff or their mail box; ensure all mail is posted and placed in the mail box for pick up by the U.S. Postal Service and overnight shippers. Prepare brief written documents and assist staff with document completion, reproduction, and distribution. Develop and maintain contact and other administrative databases.

Desirable qualifications: Good verbal and written communication skills. Ability to work collaboratively with minimal direction in a small agency environment.
